On Monday 28 January 2008 we introduced a new computer system to help us manage the letters and documents we receive from residents relating to Housing Services.
The new system is called Anite@Work and means big changes for the way Housing staff receive and process their customers' correspondence.
Housing staff have been fully trained to effectively perform necessary changes in their work practices, and freed up from spending time on repetitive administrative tasks to concentrate more on those things that will make a real positive difference for customers.
From Monday 28 January 2008 onwards all the post will be sent to one location, where it will be sorted and scanned onto the new system.
Once scanned, it can be sent electronically to and seen by staff no matter where there are based across the borough. This ensures that letters and documents don't get held up being moved from one location to another, cutting out the inevitable delays of keeping documents in paper files.
The system will also make it easier for staff to deal with housing enquiries, because they will have all the available information at their fingertips.
File sharing is also possible with the new system, meaning that closely related services such as Housing and Revenues and Benefits can share information. This will make it easier for residents because it means that they will only have to supply important documents like passports and birth certificates once.
These significant behind-the-scene changes will mean that the residents of Barking and Dagenham get a better overall service.
Councillor Liam Smith, Executive Member for Housing, said:
"The new IT system is a welcome introduction to the housing department and one which should make it easier for tenants to get their questions answered and their problems sorted."
"Our housing staff do an excellent job managing the borough's 20,000 properties, and we want to make sure that they have up-to-date equipment to let them do the best job they can".
The Anite@Work system is part of modernising Housing Council Services, and importantly a big step towards achieving Excellent Customer Services.
